Settl, Inc. ("Settl," "we," "us") provides software that helps plaintiff-side law firms organize and analyze case documents. This policy describes what information we handle across settlhq.com and the Settl application, and how we handle it.
1. Information We Process on Behalf of Law Firms
Law firms upload case documents to Settl — medical records, billing statements, IME reports, and similar materials — which can include sensitive personal and health information about the firm's clients and other individuals. We process this information as a service provider, on the firm's instructions, solely to provide the service to that firm.
If your information appears in a law firm's case files on Settl, the firm controls that information — please direct questions or requests to the firm handling your matter. We support firms in responding to such requests.
2. Information We Collect Directly
- Account information — your name, email address, and firm affiliation, collected through our sign-in provider (Clerk) when you register.
- Usage and audit data — actions taken in the application (such as uploads, views, edits, and exports) together with timestamps, IP address, and browser information. We keep this audit trail as a security feature for firms.
- Support communications — messages you send us.
3. How We Use Information
We use the information above to provide, secure, support, and improve the service, to maintain audit trails, and to comply with legal obligations. We do not sell personal information. We do not use it for advertising. We do not use customer content to train generalized AI models.
4. Cookies
Settl uses only essential cookies — the session cookies required to keep you signed in, set by our authentication provider (Clerk). We do not use advertising cookies or third-party analytics cookies, which is why you will not see a cookie consent banner. If this changes, we will update this policy and obtain consent where required.
5. Service Providers
We use a small number of service providers to operate Settl. They are engaged under agreements that restrict their use of your information to providing services to us:
- Amazon Web Services — hosting, document storage, and medical entity extraction
- Vercel — web application hosting
- Clerk — authentication and account management
- Anthropic — AI text analysis and draft generation
- Microsoft Azure — document text recognition (OCR)
- Cohere — document search relevance
6. Security
We maintain technical and organizational safeguards designed for sensitive legal and medical materials, including encryption of data in transit, firm-level access isolation enforced at the database level, short-lived signed URLs for document access, comprehensive audit logging, and scrubbing of personal information from system logs. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Data Retention and Deletion
We retain information for as long as your firm's account is active and as needed to provide the service. Firms can delete individual documents and cases in the application at any time. To request deletion of your firm's account and data, email support@settlhq.com; we will complete verified deletion requests within 30 days, except for residual copies in encrypted backups (which expire on a rolling schedule) and records we are required to retain by law.
8. Your Rights
Depending on where you live, you may have rights to access, correct, or delete personal information we hold about you. To exercise them, email support@settlhq.com. If your information is contained in a firm's case files, we will refer your request to that firm, which controls the information.
9. Children
Settl is a professional tool for law firms and is not directed to children, and we do not knowingly collect information directly from them. Case files uploaded by firms may include records about minors; we process those solely on the firm's behalf as described above.
10. Changes to This Policy
We will post updates to this policy on this page with a new "Last updated" date, and will notify firms in the application of material changes.
